DISCUSSION
City Council approval is requested to amend Contract No. 34032 with Specialized Elevator Services to continue providing elevator repair and maintenance services through December 31, 2021.

On September 8, 2015, the City Council adopted Specifications No. ITB PW15-136 and awarded a contract to Specialized Elevator Services for as-needed elevator maintenance and repair for two years, with the option to renew for two additional one-year periods.

On July 14, 2020, the City Council amended Contract No. 34032 with Specialized Elevator Service, to increase the amount by $155,000, for a revised total contract amount not to exceed $995,000 and extended the term to December 31, 2020. Most recently, on December 8, 2020, the City Council again amended the contract to increase the amount by $100,000, with a contingency in the amount of $75,000, for a revised total contract amount of not to exceed $1,170,000 and extended the term to June 30, 2021.

The unexpected effects created by the COVID-19 pandemic impacted the capacity and ability of City staff to prepare and release a formal Invitation to Bid (ITB). There were additional unexpected delays due to the complexity of gathering necessary information about such specialized equipment services. This request will allow for this critical safety service to continue uninterrupted while the procurement process is completed.

This matter was reviewed by Deputy City Attorney Amy R. Webber on April 19, 2021, Business Services Bureau Manager Tara Mortensen on April 18, 2021, and by Revenue Management Officer Geraldine Alejo on April 27, 2021.
