Recommendation to approve allocation from City Prosecutor's Budget from Fiscal Year 2011 to Fiscal Year 2013, in the amount of $65,000.
 
DISCUSSION
This budget adjustment has no cost to the City and will help reduce costs to the City in the future.  The City Prosecutor's Office previously set aside $65, 000 of savings from FY2011 to use for future computer upgrades.  This $65,000 set aside, together with $35,000  from Upland Oil Funds approved by the City Council last year, will be used to upgrade various record-tracking technologies used in the City Prosecutor's Office and make use of wireless technology currently being integrated into the new courthouse building. Since the City Prosecutor's Office maintains approximately 25,000 case files at any given time, digitizing files and better utilization of technology will save money and space over a period of years.
 
The upgrade project is expected  to be completed during  FY2013, depending on budgeted resources. This budget adjustment being requested would merely allow the $65,000 already set aside to be used in FY2013 (or later as necessary).
 
TIMING CONSIDERATIONS
This adjustment to the FY2013 budget is requested to reflect the ongoing project changes associated with the implementation of the project.  City Council action is requested on December 18, 2012, to enable the upgrade project to continue.
 
FISCAL IMPACT
There is no fiscal impact since all funds were set aside in a prior fiscal year and have been allocated for this project. The effect of this action is an increase in appropriations in the City Prosecutor's General Grants Fund (SR120) by $65,000 from CP savings in the FY2011 General Fund.
