TITLE
Recommendation to authorize City Manager to amend existing purchase orders with Trane US, Inc., of La Crosse, WI (not an MBE, WBE, SBE or Local), increasing the amount by $129,730, bringing the total purchase order amount to $220,541, for temporary air conditioning services for the Police Department Crime Laboratory.  (District 1)      
 
DISCUSSION
In the spring of2009, the eight-year-old air conditioning unit for the Police Crime Lab failed.
To provide temporary air conditioning services to the Police Crime Laboratory, the Long Beach Police Department (LBPD) initiated purchase orders with Trane US, Inc. (Trane).
The LBPD utilized this rental service while a formal procurement process took place for a replacement air conditioning unit.
 
This City Council action is to request authorization to increase the purchase order amount to pay outstanding rental fees for the services provided while shipping, construction and installation of the replacement air conditioning unit occurred. The new unit was installed in the beginning of March 2011.
 
This matter was reviewed by Deputy City Attorney Amy R. Burton on August 9, 2011 and Budget Management Officer Victoria Bell on August 17, 2011.
 
TIMING CONSIDERATIONS
City Council action is requested on September 13, 2011 to ensure additional funds are added expeditiously for payment of services rendered.
 
FISCAL IMPACT
The increased amount of $129,730 for temporary air conditioning services is budgeted in the FY 11 Adopted Budget in the General Fund (GP) in the Police Department (PD). There is no local job impact associated with this recommendation.
 
SUGGESTED ACTION
Approve recommendation.
