TITLE
Recommendation to adopt resolution authorizing City Manager to execute a contract with McNeilus Truck and Manufacturing Company for McNeilus parts for City vehicles at an estimated cost of $250,000 annually, including tax, for a period of one year, with an option to renew for two additional one-year periods at the discretion of the City Manager, and with an option for a 10 percent contingency, if necessary, and if funds are available.
 
DISCUSSION
City Council approval is being requested to enter into a contract to purchase parts for refuse trucks that have McNeil us bodies. The City has 68 of these units with 9 more on order. McNeilus is the sale manufacturer for the parts the City needs to maintain its McNeilus equipment and the company does not utilize independent distributors. This contract is higher than the last contract due to an aging fleet, the increased quantity of equipment, and the fact that a majority of the units are coming out of warranty.
 
This matter was reviewed by Senior Deputy City Attorney Donna F. Gwin on September 08, 2006 and by Budget Management Officer David Wodynski on September 22, 2006.
 
TIMING CONSIDERATIONS
City Council action is requested on October 10, 2006, in order to provide a constant availability of parts required to maintain City equipment.
 
FISCAL IMPACT
The funds to purchase the parts is in the annual budget of the Fleet Services Fund (IS 386) in the Department of Public Works (PW), which will be supported through charges to various City departments and funds. The City will have the option of adding expenditures up to 10 percent (or $25,000) above the contract amount, if required, and funds are available.
