TITLE

DISCUSSION

City Council approval is requested to amend Contract No. 34924 with Bon Air, Inc., to increase the contract authority by $30,500 for the heating, ventilation, and air Condition (HVAC) system upgrade at the West Division Police Station (Project). The total contract authority for Bon Air, Inc., will increase from $448,619 to $479,119 to complete the Project.

 

On March 20, 2018, the City Council approved the award of a contract to Bon Air, Inc., for the construction of Project, located at 1835 Santa Fe Avenue. The initial Project consisted of mechanical ductwork in the gymnasium.  There were no plans to alter or upgrade additional building mechanical ductwork. However, due to unforeseen problems with the condition of mechanical ductwork in other areas of the building, it became necessary to upgrade other mechanical ductwork throughout the facility.  These upgrades were required to ensure a balanced HVAC system.

 

This matter was reviewed by Deputy City Attorney Erin Weesner-McKinley on February 13, 2020, Purchasing Agent Tara Yeats on February 13, 2020, and by Revenue Management Officer Geraldine Alejo on February 22, 2020.

 

TIMING CONSIDERATIONS

City Council action is requested on March 10, 2020, to complete the Project.

 

FISCAL IMPACT

The revised total contract authority with Bon Air, Inc., will not exceed $479,119.  To cover additional costs, an appropriation increase in the amount of $32,000 is requested in the Capital Projects Fund Group in the Public Works Department, offset by a transfer from the General Fund Group. To facilitate the transfer to the Capital Projects Fund Group, an appropriation increase in the amount of $32,000 in the General Fund Group in the Police Department is requested, offset by FY 19 one-time funds set aside for this purpose. This recommendation has no staffing impact beyond the normal budgeted scope of duties and is consistent with existing City Council priorities.  There is no impact on local jobs associated with this recommendation.
