DISCUSSION
City Council approval is requested to execute an amendment to Contract No. 34032 with Ascent Elevator Services, Inc. (Ascent), to increase the annual contract amount by $50,000 and authorize a 20 percent contingency of $40,000, for a total annual contract amount of $240,000.

On September 8, 2015, the City Council adopted Specifications No. ITB PW15-136 and authorized the City Manager to execute a two year contract (August 1, 2015 - August 1, 2017) with Ascent Elevator Services, Inc., in the amount of $150,000 for as-needed elevator maintenance and repair. A contract amendment to increase the annual amount is needed, due to unforeseen elevator repairs throughout the City.

Ascent provides consolidated, preventive maintenance, repair, inspection, and emergency response services for City elevators at various locations Citywide. The City owns and operates over 61 elevators manufactured by several different companies. These elevators, which vary in condition, are located in over 25 City facilities throughout the City. Unanticipated expenses frequently occur as older elevators break down and need repair in order to maintain regular operations and safety.

This matter was reviewed by Deputy City Attorney Amy R. Webber on March 10, 2016 and by Budget Management Officer Victoria Bell on March 17, 2016.

TIMING CONSIDERATIONS
City Council action is requested on April 5, 2016, in order to execute the contract amendment in a timely manner.

FISCAL IMPACT
