TITLE
Recommendation to authorize City Manager, or designee, to execute a contract with Mary McGrath Architects of Oakland, California, for design services related to fire station facilities modernization, in an amount not to exceed $300,000 for a period of one year, with the option to extend the term for up to two additional one-year periods. (Citywide)

DISCUSSION
Mary McGrath Architects is currently working under a purchase order in the amount of $171 ,742 for a scope of work that includes specification refinement, bidding and construction services for Fire Stations 2, 4, 9, 10 and 22. Mary McGrath Architects was selected for this specialized modernization work for workforce privacy and emergency response functionality, as the current on-call architects do not have this required expertise. During plan check, additional code requirements were noted, requiring some architectural, mechanical, electrical and plumbing redesign. As such, staff is requesting to increase the professional services agreement by $128,258, bringing the total contract amount to not exceed $300,000. All work orders issued under this contract will be funded with existing appropriations.

This matter was reviewed by Deputy City Attorney Linda Vu on January 29, 2015 and by Budget Management Officer Victoria Bell on February 3, 2015.

SUSTAINABILITY

In addition to providing workforce privacy with separate/private restrooms and dormitories for Fire Department staff, the modernization projects include health and safety improvements, environmental, ener~;!y efficiency and disabled access compliance upgrades.

TIMING CONSIDERATIONS
City Council action on this matter is requested on February 17, 2015 in order to keep the Fire Department Facilities Modernization projects on schedule.

FISCAL IMPACT
The total not to exceed contract amount is $300,000, which includes the current purchase order amount of $171,742 and the requested $128,258 increase, to perform design services at Fire Station...
