TITLE

Recommendation to authorize City Manager to execute a second amendment to Agreement No. 33801 with Califa Group, of San Mateo, CA, a California non-profit corporation, for furnishing and delivering high-speed data communication services, to reduce the current scope of work; and

 

Authorize City Manager, or designee, to execute future amendments that do not result in cost increases.  (Citywide)

 

DISCUSSION

On March 24, 2015 the City Council adopted a Resolution authorizing the execution of Contract No. 33801 with Califa Group for the purchase of/furnishing and delivering high-speed data communication services for the Department of Library Services, for a total annual contract amount not to exceed $252,000 for a period of three years. This was to enhance the patron and staff computing experience at all library locations and to increase bandwidth to support future needs and activities.

 

On September 1, 2015, the City Council approved an amendment to Agreement No. 33801 for the one-time purchase of additional equipment necessary for the Department of Library Services network upgrades, in an amount not to exceed $134,000.

 

City Council approval is requested to amend the City’s agreement with Califa Group to not install circuits for various links at several branch libraries. Circuits for these branch libraries are now available via the City’s local area network. Califa is amenable to the requested scope of work change as installation of circuits has not commenced.  This change in the scope of work will reduce the current annual contract costs by an estimated $50,000.

 

This matter was reviewed by Deputy City Attorney Amy R. Webber on May 20, 2016 and by Budget Analysis Officer Rhutu Amin Gharib on May 24, 2016.

 

TIMING CONSIDERATIONS

City Council action is requested on June 14, 2016 to ensure the amended contract is in place expeditiously.

 

FISCAL IMPACT

Annual contract costs will be reduced from $252,000 to $202,000 as a result of this action. Sufficient funds are budgeted in the General Services Fund (IS 385) in the Technology and Innovation Department (TI).  There is no local job impact associated with this recommendation.
