DISCUSSION

City Council approval is requested to amend Contract No. 34871 with Prudential Overall Supply to continue to provide the service and rental of uniforms, floor mats, mops and related services.

On December 12, 2017, the City Council awarded a contract to Prudential Overall Supply as part of its adoption of Resolution No. RES-17-0146 for the service and rental of uniforms, floor mats, mops, and related services, on the same terms and conditions afforded to the City of Tucson, AZ, through National Intergovernmental Purchasing Alliance (National IPA, now OMNIA Partners) for a period of one year, with the option to renew for four additional one-year periods.

The current authorized term of the contract will expire on January 31, 2023. Prudential Overall Supply is offering to extend the contract for existing customers. Currently, the Airport, Financial Management, Energy Resources, Health and Human Services, Library Services, Police, Parks, Recreation and Marine, Public Works, and Technology and Innovation Departments utilize this contract for their everyday operations and to ensure employee safety. The requested contract extension will ensure continuity of service and that City of Long Beach (City) Departments have access to service and rental of uniforms, floor mats, mops, and related services.

This matter was reviewed by Deputy City Attorney Erin Weesner-McKinley and Revenue Management Officer Geraldine Alejo on November 23, 2022, and by Purchasing Agent Michelle Wilson on November 14, 2022.

TIMING CONSIDERATIONS

City Council action to amend Contract No. 34871 is requested on December 13, 2022, to ensure there is no interruption to services.

FISCAL IMPACT

The requested action extends the Contract authority with Prudential Overall Supply to October 31, 2025. The total annual contract will not exceed the original authorized amount of $490,600, inclusive of a 10 percent contingency. The contract will be used citywide on an as-needed basis and is budgeted across various departments and funds. This recommendation has no staffing impact beyond the normal budgeted scope of duties and is consistent with existing City Council priorities. The contract amendment will provide continued support to our local economy by assisting in preserving employment for 24 full-time employees residing in Long Beach.
