TITLE
Recommendation to authorize City Manager to execute first amendment to Agreement No. 28450 with Berryman and Henigar, Inc., for as-needed survey services, to increase agreement authority by $600,000, for a total cumulative contract amount of $1,200,000. (Citywide)
DISCUSSION
On March 25, 2003 , the City Council authorized an agreement with a three-year term for
as-needed survey services with Berryman and Henigar, Inc. , in an amount not to
exceed $600 000 (attached as Exhibit A, listed as "other related professional services
The firm was selected in accordance with Administrative Regulation 8-4, "Selecting Professional Consultants." The consultant has performed work for the Public Works Department, helping the Engineering Bureau fulfill its current survey workload for capital
projects , as well as assisting other departments requiring survey services.
Due to the heavy requests made by other departments for survey services as well as
efforts being made by Public Works to complete Capital Projects in a timely manner, the
City has utilized the majority of the agreement authorization faster than had been
anticipated. It is , therefore, recommended that the agreement authorization be
increased by $600 000 to cover future survey needs over the remainder of the
agreement's term. The increase is to cover more projects and other department
demands and is not a reflection of higher costs for service. As individual projects or
other survey needs are identified , staff will issue work orders to the consultant. Each
work order will be funded from the budgeted source identified for each particular project
or department need.
This matter was reviewed by Senior Deputy City Attorney Donna F. Gwin on April 13
2005, and Budget Management Officer David Wodynski on April 11 , 2005.
TIMING CONSIDERATIONS
City Council action on this matter is requested on May 3 , 2005 , in order to continue
providing survey services without interruption.
FISCAL IMPACT
Individual purchase orders issued under this contract will be funded by the department
issuing the purchase order within current appropriations; no appropriation increases are
required.
