DISCUSSION
City Council approval is requested to amend Contract No. 34265 with West Coast Arborists, Inc., for as-needed tree trimming services, to extend the term through March 31, 2021, and increase the contract authority by $3,400,000, for a revised total amount not to exceed $11,340,000.

On May 10, 2016, the City Council adopted Specifications No. ITB PW15-119 and awarded a contract to West Coast Arborists, Inc., for as-needed tree trimming services in the public right-of-way, excluding parks, in an annual amount of $1,860,000, for a period of two years with the option to renew for two additional one-year periods. On February 18, 2020, the City Council approved a third amendment to Contract No. 34265 with West Coast Arborists, Inc., to extend the term through September 30, 2020, and increase the contract authority by $500,000 for a total contract amount not to exceed $7,940,000. The contract covers the annual grid trimming, stump grinding, as-needed emergency response, and other services needed to maintain the urban forest.

Extending the term of the contract through March 31, 2021, will provide adequate time for staff to complete a new procurement process without interruption to services. This amendment will also provide resources to address items that were awarded one-time funding in the FY 20 first budget appropriation adjustments. Additional contract authority is needed for tree services for the Residential Street Improvements Program and the ADA Accessibility Programs prior to the start of street improvement and sidewalk repair work.
